Fleet software promises a lot, and the sales pages often sound alike. The best choice is the one your drivers will actually use and your managers will actually look at. A few good questions, asked of every provider in the same way, will tell you more than any brochure.
Start with the problem, not the features
Write down the three things that cause you the most trouble today. It might be missed services, expired papers, fuel that does not add up, or not knowing where a vehicle is. Judge every provider by how well they solve those, not by how long their feature list is.
Will your drivers really use it?
- Does it work well on a phone, which is where most drivers and mechanics will use it?
- Does it keep working when the connection is weak, and send the information later?
- Can a driver learn the basics in a few minutes?
Does it cover the basics?
- Vehicle inspections with a clear record for every vehicle.
- Maintenance tracking and reminders for services and repairs.
- Reminders for roadworthy, insurance and driver licence renewals.
- Records for fuel and incidents.
- Reports you can read and export.
Is the pricing clear?
You should be able to explain the pricing in one sentence. Ask what is included, what is extra, and what changes as your fleet grows. Be careful with a price that depends on who you speak to, or that comes with fees you only discover later.
What happens to your data?
Your vehicle and driver records belong to you. Ask where they are kept, who can see them, whether they are backed up, and how you can take them with you if you decide to leave.
What support and setup do you get?
A good tool still needs people who answer when something goes wrong. Ask how quickly they respond, in which language and time zone, whether they train your staff, and whether they will help you move your existing vehicle and driver lists into the system.
Try it before you commit
Ask for a live demonstration, or a trial, using your kind of fleet. Watch a driver complete a real task from start to finish. If a provider will only show you slides, treat that as a warning sign.
Compare fairly, then start small
Use the same questions for every provider and score the answers, so the decision does not come down to the best salesperson. Then start with the features you need most, in a small part of the fleet, and grow from there.
