Keeping roadworthy, insurance and driver licence papers in order

A hand ticking off a vehicle checklist on a clipboard

Most fleet owners know the feeling: a vehicle is ready to work, but its paperwork has expired. An out-of-date certificate or insurance can stop a vehicle working, and can lead to penalties. The fix is not complicated. It is a system that tells you about every renewal well before it is due.

Know what to track for each vehicle

  • Roadworthy certificate.
  • Insurance.
  • Any permits your type of work needs.
  • Each driver's licence and its expiry date.

Keep one register

Put everything in a single list, whether that is a spreadsheet or fleet software. For each vehicle and driver, record the document, its number and its expiry date. One register means one place to look, and nobody has to rely on memory.

Set reminders early

Renewals often take time. Set reminders well before expiry, for example thirty days ahead, and again closer to the date, so there is room to gather documents, book inspections and pay.

Give someone responsibility

A shared task is often nobody's task. Name one person to own the register and the renewals, with a backup for when they are away.

Keep copies you can find

Store clear digital copies of every document, labelled by vehicle. When a document is needed in a hurry, you will be able to find it in seconds.

Treat an expired paper as a stop sign

Agree a simple rule with your drivers and managers: a vehicle with an expired document does not go out until it is sorted. It protects your drivers, your insurance position and your business, and it removes any doubt about what to do on the day.

A starter routine for your first month

  • Week one: list every vehicle and driver you are responsible for.
  • Week two: collect each document and check its expiry date.
  • Week three: enter everything in one register and set the reminders.
  • Week four: renew anything already close to expiry and name the person responsible.

Check the current requirements

Rules and processes change. Confirm what is currently required for your vehicles and type of work with the relevant authorities, and review your register whenever those requirements change.
